Deskwork Aotearoa Limited (“Deskwork”, “we”, “us”) is a New Zealand company that provides offshore recruitment, talent management, and related services to businesses in New Zealand and Australia. This policy explains what personal information we collect, how we use it, who we share it with, and the rights you have over it.

We comply with the New Zealand Privacy Act 2020 and, where we deal with Australian businesses and individuals, the Australian Privacy Act 1988 and the Australian Privacy Principles.

What we collect

Information you give us directly. When you contact us, book a call, or fill in a form on our website, we collect the details you provide — typically your name, work email address, phone number, company name, job title, and anything you tell us about your business or requirements.

Information from LinkedIn Lead Gen Forms. We run advertising on LinkedIn that uses LinkedIn’s Lead Gen Forms. If you submit one of these forms, LinkedIn provides us with the information in the form — your first name, last name, work email address, company name, job title, phone number, and your answers to the questions on the form (for example, how your admin is handled today, the role you’re looking to fill, or your hiring timeframe). Some of these fields are pre-filled by LinkedIn from your LinkedIn profile; nothing is sent to us until you choose to submit the form. LinkedIn’s own handling of your data is governed by the LinkedIn Privacy Policy.

Information collected automatically. Like most websites, we use cookies and similar technologies to understand how our site is used and to measure the performance of our advertising. This includes the LinkedIn Insight Tag, which allows LinkedIn to provide us with reporting about our ads and website visits. This data is aggregated — it doesn’t identify you to us personally. You can manage cookies through your browser settings, and manage how LinkedIn uses your data through your LinkedIn ad settings.

How we use your information

We use your information to:

Respond to your enquiry — for example, to arrange a call you’ve requested or to prepare a costed comparison for a role
Provide and manage our services if you become a client
Contact you about Deskwork’s services, where you’ve enquired with us or agreed to hear from us
Improve our website, services, and advertising
Meet our legal and accounting obligations

We only collect information we actually need, and we don’t use it for purposes unrelated to the above.

Marketing communications

If you’ve enquired with us or submitted one of our forms, we may follow up with you about our services. Every marketing email we send includes an unsubscribe link, and you can opt out at any time by using that link or emailing us at db@deskwork.co. We comply with the New Zealand Unsolicited Electronic Messages Act 2007 and the Australian Spam Act 2003.

Who we share your information with

We do not sell your personal information, and we do not share it with third parties for their own marketing.

We share information only with service providers who help us run our business — for example, our CRM and task management systems, email and calendar providers, accounting software, and scheduling tools. These providers process your information on our behalf and are not permitted to use it for their own purposes. Some of these providers store data outside New Zealand and Australia (for example, in the United States); where they do, we take reasonable steps to ensure your information remains protected to a comparable standard.

We may also disclose information where the law requires it.

How long we keep it

We keep personal information only as long as we need it for the purposes above. If you enquire with us and we don’t end up working together, we’ll keep your details only as long as is reasonable to follow up and maintain our records, after which they are deleted. Client records are kept for as long as required by law (for example, for tax purposes).

Security

We take reasonable steps to protect your information from loss, misuse, and unauthorised access, including access controls and reputable, secure service providers. No system is completely secure, but we treat the protection of your information as a priority.

Your rights

You have the right to:

Access the personal information we hold about you
Correct it if it’s wrong
Ask us to delete it, and we will unless we’re legally required to keep it
Opt out of marketing at any time

To exercise any of these rights, email us at db@deskwork.co. We’ll respond promptly, and in any case within the timeframes required by law (20 working days in New Zealand; 30 days in Australia).

If you’re not satisfied with how we’ve handled your information or your request, you can complain to the Office of the Privacy Commissioner in New Zealand (privacy.org.nz) or the Office of the Australian Information Commissioner (oaic.gov.au).

If we change this policy, we’ll update this page and the date at the top. Material changes will be flagged clearly on this page.
